PLEASE READ THE FOLLOWING INFORMATION CAREFULLY

A 25% Deposit is due with your vendor form and the final payment is due on February 1, 2010. A late charge of $10.00 will be assessed after February 15. Phone reservations will be held only seven (7) days without a deposit. No space will be reserved without the deposit. All booths will be assigned on a first serve basis according to the postmark. Returning vendors will be offered the same space as the previous year as long as contract is received by the due date. Entries received the week of the Expo will not receive a sign for their booth. A confirmation letter will be sent to you when your application is received. If you do not receive this confirmation letter within fourteen (14) days of mailing your registration, please contact us. Security will be provided during non-show hours and the vendor pavilion doors will be locked. NO BOOTHS OR MERCHANDISE MAY EXTEND INTO THE AISLES.

AAA Rents is the show decorator. Each vendor booth and hospitality booth will have an 8’ back drape and 3’ side drapes. The back drape and side drapes may not be moved or removed without the Expo Exhibit Director’s approval. Each booth is supplied with 1 table and 2 chairs. Should you require something other than what is provided, you must call Dorothy at (402) 467-4588 at least one (1) week prior to the show. The only part of the Expo floor that is carpeted is the area down the middle that is dirt. The rest of the pavilion is concrete flooring. Move in for bulk vendors is Wednesday, March 10 from 10:00 a.m. – 5:00 p.m. All bulk vendors must be completely moved in by Thursday at 7:00 p.m. All other vendors will move in on Thursday, March 11 beginning at 9:00 a.m. through 7:00 p.m. and on Friday, March 12 from 8:00 a.m. through 11:00 a.m. Vendor hours are: Friday – noon to 8:00 p.m., Saturday – 9:00 a.m. to 7:00 p.m., and Sunday – 10:00 a.m. to 5:00 p.m. You will be notified in advance of any change in this schedule. TEAR DOWN AND MOVE OUT IS NOT TO BEGIN PRIOR TO 5:00 P.M. ON SUNDAY. All vendors must be moved out of the building by 10:00 a.m. on Monday, March 15.

  1. Payments and termination of contract: If the terms of payment set forth on this contract are not met, the rights of Exhibitor to the space shall cease and terminate. All returned checks will be subject to a $35.00 return check fee. All checks written as payment must have the driver’s license number of the person writing the check on the check. All accounts must be paid in full prior to set up times. Only U.S. funds accepted. No foreign currency.
  2. Cancellation Policy: If Exhibitor must cancel this Agreement up to three (3) months prior to the show opening, a 2/3 payment will be refunded. From three (3) months to 46 days prior to show opening, 1/2 payment will be refunded. During the last 45 days prior to the show opening, no refunds will be made except as noted in #3 below.
  3. Refund due to Illness or Injury: Claims for reimbursement for display booth non-attendance due to illness or injury must be accompanied by a physician’s statement. All claims must be in writing, submitted to the Expo Management no later than noon, March 11 and are subject to a $25.00 administrative fee.
  4. Use of Space: No booths may extend into aisles and all aisles must be kept clear. Interviews, demonstrations, and distribution of literature must be done inside the Exhibitor’s booth space. Exhibitors must keep their booth space clean and in good order. No loud speakers will be allowed. Small sound systems, including the playing of video tapes, may be used, but the sound must not be offensive to neighboring Exhibitors. The Exhibitor may not assign this contract nor permit any other company to share their space without the express written permission of the Expo Exhibit Director. No one can exhibit, or pass our literature unless a contract has been obtained for space from the Nebraska Horse Expo. NO BALLOONS PLEASE!
  5. Rejection of Applicants and Exhibitors: The Nebraska Horse Expo reserves the right to reject any applicant for space at any time, and reserves the right to regain possession of any space by refunding to the applicant or exhibitor the amount paid for space.
  6. Assumption of Risks and Indemnification: The Exhibitor expressly assumes all risks associated with, resulting from, or arising in connection with Exhibitor’s participation or presence at the Expo, including, without limitation, all risks of theft, loss, harm, damage, or injury to the person (including death), property, business, or profits of Exhibitor, whether caused by negligence, intentional act, accident, act of God, or otherwise. Exhibitor agrees to indemnify, and hold harmless the Nebraska Horse Expo, Nebraska Horse Council, and the respective directors, officers, and volunteers against any and all claims arising out of acts or failure to act of Exhibitor or his representatives at the Expo. The release of liability form needs to be signed and returned. Additional forms will be available. Exhibitors are required to carry fire and liability insurance covering trade shows and fairs which insures their good and exhibits against damage and loss of personal injury. A copy of the exhibitors insurance needs to be mailed with each application or presented at time of check-in.
  7. Compliance with Laws and Facility Regulations: Exhibitor agrees to obey all laws, ordinances, and regulations governing the use of the Event Center; to abide by the rules and regulations of the Lincoln Fire and Police Departments; to obey all Nebraska Horse Expo rules and regulations to be issued by the Nebraska Horse Expo Management and other such public officials whose duties may regulate exhibits. All decorative materials used in displays must meet flame proofing regulations. No tack, nails, or screws may be driven into the walls, floors or pillars of the Event Center. No banners can be placed across aisles. No signs or stickers may be taped to Lancaster Event Center walls. This will be strictly enforced by the Event Center staff. Exhibitors cannot distribute food, unless approval has been obtained from the Nebraska Horse Expo Management and proper food handler permits are secured and proof of such are provided to the Nebraska Horse Expo Management. No alcoholic beverages are allowed in any of the booths.
  8. Wristbands: Wristbands will be mailed to you. FORGOTTEN, LOST, OR STOLEN WRISTBANDS WILL NOT BE REPLACED. YOU WILL BE SUBJECT TO THE $20.00 PER BAND FEE. NO EXEPTIONS!!!!!!!!!!!!!!!!!!!!
  9. Nebraska Limited Liability Law: Warning: Under Nebraska Law, any equine professional is not liable for any injury to or death of a participant in equine activities resulting from the inherent risks of equine activities, pursuant to sections 25-21, 249 to 24-21, 253.
